Title: Legal Administrator

Reporting To: Company Secretary

Location: Ealing

30 November 2009

Company Overview
Chosen Inheritance is a legal services company operating from Ealing, West London. We operate in most parts of Greater London, and in nearby areas, providing advice to clients, mainly in the area of Wills, Inheritance Tax Planning and related matters. Our emphasis is helping people protect their assets for future generations.

The Company was founded in 1986 and has been under current management since 1998. Peter Spillman is the Managing director and Cynthia Spillman is the Company Secretary.

The Company has over 5,000 clients and prides itself in providing an exemplary service. Although we are in business to make a profit, we aim to do this by being loved by our clients.

In March 2009, the company decided to embark on growth plans. These involve extending the services offered to our clients and increasing the number of clients we see.

Synopsis of the Position:
Chosen Inheritance is a small company. This means that the sky is the limit on the contribution any individual chooses to make. Flexibility, self-management and working under one's own initiative are key. The intention is that the incumbent is trained to be able to take over as many tasks as possible from Peter & Cynthia Spillman to enable them to focus on seeing clients. It is not currently intended that the Personal Assistant conducts client meetings. However it is hoped that they will learn to do everything else over time.

This includes:

Ø Take over control of the office, introduce systems and processes to make us fast, accurate and efficient.

Ø Keeping diaries for Peter & Cynthia Spillman, arranging client and other meetings as required.

Ø Answering the telephone and learning over time to respond to the lion's share of client questions. Dealing with emails and either responding or forwarding to Peter or Cynthia Spillman. Dealing with incoming and outgoing post.

Ø Loading instructions onto the Client database and updating records as required.

Ø Drafting wills and other documents, all client correspondence

Ø All filing and archiving.

Ø Introduce new ideas for improving client service and performance.

Ø Contribute to team performance and build good working relationships with colleagues.

Ø Preparing reports as may be required from time to time

Ø Monitoring stationery and other consumables and ordering as required

Ø Banking and paying bills.

Ø Additional duties or projects, which may reasonably be requested.

Proposed Hours: Full-time, 37.5 hours per week.

Remuneration: TBA

Holiday: In addition to the normal Bank and Public Holidays if they fall on a work day, the employee will be entitled to twenty working days paid holiday during each holiday year, which runs from January 1st until December 31st. Your holiday dates must be agreed in advance with Cynthia Spillman. In acknowledgement of loyal and continuous service, after 2 years of continuous service with Chosen Inheritance, you will receive an extra 5 days paid holiday added to your holiday allowance, which will take you up to 25 days paid holiday per annum.

Sickness: The employers will pay statutory sick pay as stipulated by the Government at the rates stipulated by legislation.

Termination: In the first 12 weeks of employment 1 week's notice is required on either side. After 4 weeks continuous service either the employee or the employers may terminate this contract by giving 4 weeks notice.
